 GRAB Student Conference Travel Fund

Application Guidelines

EAHR and GRAB want to encourage graduate students in the department to pursue and present scholarly work in conferences. Scholarship funds have been established to help students for this purpose. Click here to access letter from GRAB Treasurer, Andrew Hurt.

Travel Funds:

Conference travel funds will be awarded on a competitive basis to applicants only after they have submitted the GRAB Student Conference Travel Fund Application along with the required supporting documents. Application forms are available in Harrington Tower room 511 or by clicking below.

Application Procedure:

1. Complete the GRAB Student Conference Travel Fund Application Form.

2. Submit a brief letter of request (not to exceed 350 words) that explains how your development and the mission of the EAHR Department will be furthered by attending and/or presenting at this particular conference. The relevance of your attending and/or presenting at this conference should be made clear in your letter (NOTE : no hand-written forms will be accepted).

3. If you are presenting at the conference, please attach proof of acceptance to your letter.

The above documents can either be emailed or mailed or leave a hard copy in the mailbox addressed to:

Approval Process

Criteria:

Application packets for the travel fund will be reviewed and approved based on the following criteria:

  • First time conference attendee (i.e. have never been sponsored by GRAB during academic career)
  • Single- and first-author presentations and second, third, (etc.) authors
  • Type of confernce (e.g., National, International, Regional, State)
  • Location of Conference
  • Conference attendance
  • Funding varies depending on the funds available per award period

Review of applications:

Applications will be reviewed periodically throughout the academic year. Exact times for reviews will be based on available funds and the number of applications to be reviewed. All applications are blind reviewed to ensure fair and unbiased treatment. Notification of awards will be sent out once the review process is complete. In some instances this may not happen until after your conference has been completed. Applicants are required to save all receipts, airline ticket stubs, and other travel documents from their conference. Regardless of amount granted, no reimbursement will be processed unless the applicant provides receipts to Susan Sassano. Applications may be submitted for conferences with dates in the previous, current, or next semester; however, applications for the next semester may be rolled over into the next award period based on available funds. No applications will be rolled over between summer and fall sessions.

During the academic year, any remaining funds from one period will be rolled into the next period's source of funds. All applications must be submitted prior to July 31st in order to be considered for the current academic year's funds. Initial awards will be approved for one conference per person. Additional funding may be awarded for a second conference per person if funds remain after each eligible applicant has received funding for a first conference.

The scholarship information sheet and the scholarship application are both available on the GRAB website.  Applications should be downloaded and electronically filled out.  Completed applications can be e-mailed to Bill Ashworth (abadger@tamu.edu) or dropped off in the EAHR office (5th floor Harrington Tower).


Documentation after Approval

If your application is approved, you will receive a letter of approval from GRAB. You will need to contact Susan Sassano no later than 2 weeks after you have received notification of your award. It will be your obligation to contact Susan to find out what information is required to receive your funds. Failure to contact her may result in forfeiting your award.

Susan must speak with you to determine what forms are required based on your employment, discuss travel policies, and reimbursement information.

1.  Travel Support Approval Form.

 2. Texas A&M University Business Travel Request

 3. Texas A&M University Substitute Form W-9

 4. Individual Reimbursement Form     


Please note you are required to provide your original receipts, airline ticket stubs, and/or other travel documents upon return from the conference travel. If you fail to do so, you will not be reimbursed any money even if you are approved, and you will not be eligible any further funding from GRAB or the Department.
